RW Hartnett company ( the position of Administrative Assistant to the sales team has been created to facilitate corporate growth initiatives in the RW Hartnett Market and maintain orderly business procedures.
The primary duties and role of the position will fall under the direct supervision of the Market Area Global Sales Manager with daily reporting and work duties as may be required to suit the needs of the business.

DUTIES/RESPONSIBILITES
Standard job duties will include (but are not limited to):
  • Work with Market Area Manager as requested to monitor progress of business plan goals and objectives.
  • Primary contact for general sales phone calls and back up for service calls.
  • Initiate proposal files and enter all necessary contact data.
  • Make follow-up calls on proposals as requested by sales team members.
  • Make calls to vendors, representatives and distributors as requested to support sales and estimating activities.
  • Handle day-to-day parts proposals for customers.
  • Process repeat work orders to assist sales team in managing workflow.
  • Manage sales file area including: file storage area, multi-purpose copy/fax/scanning equipment, interoffice mail and inbound mail.
  • Communicate with customers on orders status.
  • Schedule corporate conference rooms.
  • Assist with travel arrangements as requested.
  • Prepare and schedule packages for UPS, Fed-Ex and other express deliveries.
  • Assist sales team in coordination of customer refreshments, lunches, dinners and/or other entertainment activities.
  • Promote and coordinate departmental functions such as lunches or other events to build teamwork and interdepartmental cooperation.
  • Work with administrative team to provide additional coverage as necessary to support main switchboard.
  • This individual is responsible to assist the sales team as directed to achieve both departmental and corporate goals.
  • Other general office duties as required.


SKILLS/QUALIFICATIONS

  • High school diploma or equivalent.
  • Microsoft Office
  • Strong attention to detail and commitment to quality.
  • Excellent communication and interpersonal skills.
  • Previous experience in a similar role preferred but not required.
